    Let's start with the fact that modern printers, MFPs and other devices differ in the type of connection to the PC. The most popular and widespread are LPT (although this port is already going out of fashion), USB, and Ethernet ports. Accordingly, setting up a printer on a personal computer will vary depending on which port you use. All ports have their pros and cons. Well, for example, if printing via a USB connection is, one might say, “instant”, then printing over the network may take some time, because documents vary in size and until they are transmitted via the network to the printer, printing will not start... In addition, if the printer is connected via USB, if the server PC (the PC on which the printer is installed) breaks down, the printer will not be available to any user.

    So let's get started. Let's look at two examples of setting up devices on Windows 7.

    USB connection

    Let's say a printer is installed on your computer and connected via a USB cable, how can you make it so that other users can print on it?

    We need to proceed to " Start" - "Devices and Printers":

    The window that appears will display all installed printers, faxes, monitors, scanners, MFPs, and so on:

    But we need to select the printer that should be shared. Right-click on the desired printer (in my case it is HP LaserJet 400 MFP M425 PCL 6). In the pop-up window, click on " Printer property":

    What we see here is an inactive item " Share this printer". It is necessary to check this box. Such manipulations will now allow us to find the printer by IP address or DNS computer name. But do not rush to click " OK", you should also check the box with the name " Add to Active Directory"(If you have a domain machine, this will simplify the search for a printer, and you can find out how below in the article):


    Before clicking the " OK", let's make the final settings. Click on the button " Additional drivers...":


    In the window Additional drivers"You must check all the boxes (provided that drivers for x86, x64, etc. devices are installed). This will allow you to install printer drivers over the network not only for 32-bit PCs, but also for 64-bit ones:


    All! Now you can press " OK" in this and the previous window. The sharing setup is complete. Now let's look at how to connect to our printer from another PC. To do this, you need to go to the " window on another PC. Devices and Printers" and click on the link " Installing the Printer":


    In the window that appears, we will see two items: " Add a local printer" And "":


    To connect the printer by IP address, select the first item; to connect the printer via Active Directory, select the second item. Let's first select the first item, click on it and go to " Select printer port":

    In the menu " Enter the printer name or IP address"you must specify the IP address of the computer on which the printer is installed (in my case it is 10.81.0.50), click " Next", after which the installation of the printer should begin.     So, now let's go back a few steps and look at an example of adding a printer through Active Directory. Select the item " Add a network, wireless or Bluetooth printer":


    In the menu " Search for available printers..", without waiting for the search, we immediately click the link " The printer you need is not in the list":


    In the menu that appears, we see three installation options, you can select any of them. In the first paragraph you can find the printer through Active Directory, in the second paragraph you can find it by entering the computer name or by finding a computer on the network, in the third paragraph you can specify the IP address. Select the first item and press " Next"and we get a window" Search: Printers":



    Here you will see a list of all available printers on the domain network, and you can also filter them by parameters. The screenshot shows that I selected my printer, which I shared earlier, just click on it to begin its installation, after which you can use the printer.

    Ethernet connection

    I will show an example of such a connection on a printer, or rather MFP Canon i-Sensys 411 dw. For other manufacturers and on other models, the actions will be identical. Before connecting directly to the printer over the network, you need to configure its IP address on the printer itself! This is important, otherwise we simply will not find the printer on the network.

    On the printer touch screen, click on " Menu":

    In this menu, you can get the settings automatically, but as experience shows, the printer cannot grab a DHCP server, in short, IP addresses are not automatically assigned to the printer correctly, it is better to enter them manually. Select " Receive manually":


    Enter the IP address and subnet mask. All these parameters depend on your network; the address in the photo is shown as an example. When the address and subnet mask are entered, press " Apply" and we can move to our computer to connect the printer.


    After setting up the printer, you need to download the driver from the official website, in my case the driver was downloaded " MF410MFDriverV2160W64RU". Unpack and run:



    In the next window we will find the printer, if the automatic search did not help, enter the printer's IP address and click " Next":

    I think the benefits of having a printer configured on a local network are obvious to everyone. Simple example:

    If access to the printer is not configured, then you need to first transfer files to the PC to which the printer is connected (using a flash drive, disk, over a network, etc.) and only then print them (in fact, to print 1 file, you need to make a dozen “ unnecessary" actions);

    If the network and printer are configured, then on any PC on the network in any of the editors you can click one button “Print" and the file will be sent to the printer!

    STEP 1 - Setting up the computer to which the printer is connected (or how to “share” the printer for all PCs on the network).

    To be able to use the printer on any PC on the network, you must correctly configure the computer to which it is connected.

    To do this, go to the Windows Control Panel, to the section: Control Panel\Network and Internet\Network and Sharing Center.

    In the window that opens, you need to open three tabs one by one (Fig. 2, 3, 4). In each of them you need to check the boxes: enable file and printer sharing, disable password protection.

    Here select your printer, right-click on it (right mouse button) and select the “ Printer properties". In properties, go to the “Access” section and check the box next to “ Share this printer"(see Fig. 5).

    If access to this printer is open, then any user on your local network can print on it. The printer will not be available only in certain cases: if the PC is turned off, in sleep mode, etc.

    You also need to go to the “Security” tab, then select the user group “Everyone” and allow printing (see Fig. 6).

    STEP 2 - How to connect a printer over a network and print to it

    Now you can proceed to setting up computers that are on the same local network as the PC to which the printer is connected.

    The first step is to launch a regular explorer. At the very bottom left, all PCs connected to your local network should be displayed (relevant for Windows 7, 8).

    In general, click on the PC to which the printer is connected and if in step 1 (see above) the PC was configured correctly, you will see the shared printer. Actually, right-click on it and select the connection function in the pop-up context menu. Typically, connection takes no more than 30-60 seconds. (automatic connection and driver configuration occurs).

    Then select the connected printer, right-click on it and enable the option “ Use as default«.

    Now, in whatever editor you are in (Word, notepad and others), when you click the “Print” button, the network printer will be automatically selected and you will only need to confirm printing. The setup is complete!

    If when connecting printer an error appears on the network

    We have already configured and created a network common to all computers, now it’s time to set up a shared printer.

    How to set up printer sharing

    On the computer to which the printer is connected, open a window Printers and faxes (Start - Settings - Printers and Faxes) . A window will open Printers and faxes . Right-click on the icon of the connected printer. From the drop down menu select Sharing.

    In the newly opened window on the tab Access set the switch to the inscription Share this printer . Don't touch anything else. Click on the button Apply And OK .

    Now your printer icon will look like this. A small shared image will appear on it.

    • Let's go to another computer to which we need to connect the printer via the network.
    • Open the folder Network environment (or by icon Network environment on the desktop, or through Start – Settings – Control Panel – Network Connections – Network Neighborhood – Show workgroup computers.

    • In the next window, select the icon of the computer on which the printer is installed and open it by double-clicking.

    • Connect the computer and printer with the appropriate cord;

    Option 3 - use the Found New Hardware Wizard.

    • Download and save the printer drivers to a folder on your computer’s hard drive;
    • Connect the printer to the electrical network;
    • Connect the computer and printer using the appropriate cord;
    • Go to the Start menu, then Printers and Faxes, then find and click Add a printer;
    • Complete the installation using the Installation Wizard.

    Key points about working with the Installation Wizard:

    • Select connection port (LPT1 or USB)
    • Select the manufacturer and model of your printer from the list;
    • If your device is not in the list, click “Have from disk”;
    • If the drivers are on your hard drive, click “Browse” and specify the path to the folder with the drivers;
    • Give the printer a name;
    • To check the functionality, check the box next to “Yes” in the “Print a test page?” dialog box;

    If your home or business has several computers (PCs) and only one printer, then it would be more advisable to connect the printer via a local network. This will allow you to print documents from any computer, even if the gadget itself is not directly connected to an active computer.

    Connecting and installing the driver

    First of all, you need to connect the printer to your PC and install all the necessary drivers. You can do this as follows:

    After this, the printing device will operate in standard mode. Also, modern models require the installation of a cartridge and one sheet of paper. This is necessary for diagnostics, and the result will be printed on a piece of paper.

    There is also a way to connect via Wi-Fi (if this function is supported):

    Creating a local network

    To connect and configure a printer via a local network in Windows 7, 8, 10, you first need to create it:

    1. Go to control Panel.
    2. Choose network control center and general access.
    3. In the left column go to changing adapter settings.
    4. Right-click on the local network icon and select properties.
    5. Place a check mark next to the line Internet Protocol Version 4 and go into properties.
    6. A window will open with computer address, netmask and default gateway. The first line must be changed to 192.168.1.1; this value will change for each connected PC. Change the second line to the form 255.255.255.0. The third line must differ from the first by at least one digit.
    7. After which you need to select type of future network. It is recommended to choose homemade.

    For the second computer, we repeat the instructions, but change the last digit of the address, for example to 192.168.1.2. The mask and gateway must be identical, otherwise the computers will not connect. This will create a local network.

    Sharing the printer

    To allow anyone to print files, you must share the printer on the network. To do this, follow the instructions:

    1. Press keyboard shortcut Win+R.
    2. Enter command controlprinters and execute it.
    3. All gadgets will be displayed in the window that appears. Necessary choose one of them, set as default and go to its properties.
    4. In the access tab provide general.
    5. Also provide drivers that will install automatically to connected devices.
    6. The system will ask folder path with the necessary drivers. The files need to be run and the contents extracted.
    7. Select folder to extract files or create a new one.
    8. Click on review and select the path to this folder.
    9. Go to devices and printers and go to the property of the selected device.
    10. On the security tab, check the box next to the stamp in the column allow.

    If after trying to connect to the printer an error appears, then you should check whether Windows Defender is enabled. Quite often, when it is activated, all problems with gaining access go away. After this, the local printer will become a network printer.

    How to connect to a network printer

    You can find a network printer and connect to it on another computer using the following scheme:


    After this, just open any file for printing and print it through the top menu. The network device will be displayed in absolutely any program on the PC with which it is possible to send a document for printing.

    Connecting a network printer

    Simply connecting the printer to the local network is not always effective. For example, it will be impossible to print a file if the PC connected to the printing device is not functioning. To avoid such inconveniences, use network printers. Their connection occurs as follows:

    1. Connect cable into the Ethernet port on the printer, and the other end into the router.
    2. If a Wi-Fi connection is supported, it is enough enter password and login to connect to the network.
    3. Press keyboard shortcut Win+R, enter the command controlprinters. Execute it.
    4. There will be install button. Click on it.
    5. Add local printer, click next.
    6. Mark line creating a new port and proceed further.
    7. Provide an address device, which can be found in the settings. Uncheck the device poll line. Click next and wait.
    8. In a new window go to parameters and set the following values:

    10. After which set a name device, click next.
    11. In the last window, check the box so that the device was used by default.

    In order for more than one computer to have access to the printer, you need to complete all of the above steps on each PC.
